Dear Broker
Part One - We’re reducing our carbon footprint
by cutting down on unnecessary paperwork
At Aviva we are committed to reducing our carbon footprint in line with our ambition to become a Net Zero carbon emissions company. Part of this means reducing any unnecessary paper across the business.
Up to now whenever we sent a Direct Debit letter to policyholders, we automatically sent a copy of this document to you too, but feedback from brokers has told us that this is not necessary.
Copy of customer Direct Debit letters
To reduce printing and paper, from July 2023 onwards we will no longer be sending you a copy of our customer Direct Debit letters, with the exception of Default and Cancellation letters.
We appreciate your support with this change.
Part Two – Updated Policy Lapse Process
Making it easier to lapse Motor Policies
At Aviva we are always looking for ways to improve our processes and make your life easier, so we’ve updated the process to lapse Motor Policies.
Up to now, if you wanted to lapse a Motor Policy, we required you to write “VOID” on each Certificate of Insurance and Windscreen Disc with permanent marker, before scanning and emailing them, along with the Policy Lapse Form, to us.
Introducing our updated Policy Lapse Form
From now on all you will have to do is complete our new Policy Lapse Form (see attached PDF), note all the policy numbers not being renewed, shred the associated renewal certificates and discs, and email the form back to us.
Please note this updated Policy Lapse Form can also be used to lapse all non-motor policies with the exception of Motor Fleet.
New Motor Policy Lapse Process
Here’s how it works:
Step 1: Complete a Policy Lapse Request Form (PDF attached), noting all the policy numbers being returned as not renewed, confirming that the policies are to be lapsed and that you have shredded the renewal certificate and disc associated with these personally.
Step 2: Email the Policy Lapse Form to Aviva at BrokerLapses@aviva.com
Step 3: Shred all certificates and discs.
We hope this updated process will be quicker, easier and much more efficient for you.
If you have any questions about either of these changes, please contact your Business Development Manager or get in touch with Elaine Dunne, our Collections Team Lead, on 01 8988761 or elaine.dunne2@aviva.com
Thank you for your continued support.
Kind regards,
 Stephen McGerr Sales Director
